Distributor Tissue Specification Matrix: Keep Catalog Units Consistent

A distributor tissue specification matrix is a master record for comparing and maintaining several product formats without losing their ordering units. One row should connect a buyer SKU to its paper specification, retail or service pack, case conversion, evidence and approved use. The goal is accurate catalog and order data, not a ranking of suppliers. A case price or broad product name cannot repair missing dimensions or an ambiguous sheets-versus-pulls field.

BUYER CHECKLIST

Build the SKU master with explicit units

Identity and source
Buyer SKU: ___; supplier reference: ___; format: ___; specification revision: ___; source document and date: ___. Keep the source attached to the row. Assign an internal reference to an incomplete candidate without presenting it as an approved stocked item.
Paper construction
Record declared material, ply, grammage and its basis, embossing or fold, sheet dimensions and quantity definition. For rolls, add width, length or sheet count, core and outer diameter as applicable. Distinguish per-ply grammage from combined grammage rather than comparing unlabeled numbers.
Selling unit and hierarchy
Define the unit ordered and invoiced: retail pack, service pack, roll, bundle or case. Record sheets or rolls per pack, packs per bundle where present and bundles or packs per case. Store each conversion explicitly so warehouse and sales systems do not give the same word different meanings.
Dimensions and weights
Keep product, retail pack and transport-case measurements separate with units and measurement source. GS1 publishes packaging measurement guidance for consistent dimensional records. Use the applicable measurement convention when exchanging data, and keep gross weight distinct from paper-only net weight.
Identifiers and approval
Record applicable product or case identifiers, retained sample reference, evidence links and approved customer or equipment combinations. The GS1 identification standard supports reviewing relevant product and pack changes. An internal SKU label is not evidence that a published barcode or external identifier is valid.

Data validation checks before catalog release

Arithmetic reconciliation
Multiply the declared finished-unit quantity through the recorded pack hierarchy and compare it with the supplier documentation. State which unit is being counted. If pulls and finished sheets are used differently, ask for clarification before publishing a total or comparing unit costs.
Comparable specification
Compare like formats within a defined use case before choosing a normalized price unit. Equal sheet counts can hide different sheet dimensions or construction. Keep the physical specification visible next to any calculation so a low numerical cost does not imply equivalent usable product.
Change ownership
Assign who can change specification fields, commercial fields and customer approval status. Record the old and new values with supporting documents. A case-count change can affect ordering and identification decisions even when the tissue sales description stays unchanged.
Missing data treatment
Use explicit pending or unknown states for absent dimensions, supplier confirmation, sample results or identifier review. Do not fill missing fields with values copied from a similar SKU. Prevent unverified fields from becoming printed catalog claims or accepted substitution instructions.

DECISION POINTS

What to align before the next commitment.

01

Illustrative unit mismatch

Suppose one quotation calls the retail unit a pack and another calls a bundle a pack. Their listed quantities cannot be compared until the hierarchy is clarified. Rewrite both into unambiguous levels, retain the original wording and ask the suppliers to confirm the conversion. This example is a data-cleaning scenario, not a quotation received by VELUPLY.

02

Separate catalog and availability

A complete product-data row is useful even before an item is stocked, but label its commercial status. Availability, price validity and replenishment timing require current confirmation. Publishing an organized specification should not imply ready stock or a confirmed delivery route.

03

Use the matrix across departments

Purchasing uses the matrix for specification requests, sales for customer descriptions and the warehouse for case conversions. Give each team the same revision reference while limiting changes to the assigned owners. When an exception appears, update its source and approval state instead of correcting only one department spreadsheet.

WORKING SEQUENCE

A clearer route from question to decision.

  1. 01

Choose a manageable product range and collect the original supplier documents. Establish the field definitions, measurement units and ordering hierarchy before importing values into a shared matrix.

  2. 02

Enter one record per product and pack configuration, linking every important field to its dated source. Keep unconfirmed supplier statements distinguishable from measured or approved information.

  3. 03

Reconcile conversions, compare intended use and review evidence applicability. Confirm identifiers and customer or dispenser approvals separately; a tidy matrix does not certify either.

  4. 04

Release the agreed revision to catalog and ordering users with named owners. When a product, pack count, artwork or case dimension changes, preserve the earlier record and review downstream effects before replacing it.

DIRECT ANSWERS

Questions buyers ask before moving forward.

01Can one matrix cover facial tissue, rolls and hand towels?+

Yes, with format-specific fields and a defined quantity unit for each row. Avoid forcing roll length and folded-sheet count into one unlabeled quantity column. Keep shared identity and case fields consistent while preserving the physical differences.

02Should a supplier certificate go in every SKU row?+

Link only evidence whose scope has been checked against that product and route. A general supplier folder does not establish applicability to every material or item. Keep pending applicability visible and use the separate certificate-verification guide for that review.

03Does one SKU always have one case conversion?+

Define your master-data rule and distinguish valid packaging configurations. If different cases share a sales name, give them identifiable records and preserve the relevant source. Otherwise an order described only by carton quantity can be ambiguous.
