Multi-site Tissue Substitution Approval: One Replacement, Several Site Decisions

A tissue replacement approved for one location should not automatically become the replacement for every location. Sites can use different dispenser models, accessory generations, room covers and ordering units. Build an approval matrix connecting the proposed substitute to each installed configuration and local receiving needs. This guide addresses permission to substitute across a network; use the separate dispenser selection and hotel purchasing guides to choose and measure the original refill.

Site-to-replacement approval matrix

Site and equipment group
Record site code, service area, accessory brand, model and generation where available. Group sites only when the relevant configuration is known to match. A shared photograph or a generic description such as multifold dispenser is insufficient evidence that every installation behaves the same.
Current and proposed references
Keep the original buyer SKU, approved sample reference and supplier product reference beside the proposed replacement. Record fold or roll format, dimensions, ply, count and pack configuration separately. Mark fields reported by the supplier and fields checked at the site so the comparison stays auditable.
Physical trial outcome
Record installation, first dispensing, later dispensing, refill handling and any observed exception. Name the equipment and sample actually tested. Agree the duration and scope with the site owner; do not convert one successful installation into an unsupported network-wide pass.
Permission and expiry
Use explicit states such as approved for listed sites, conditional, pending or rejected. Add authorized quantity or period where the substitute is temporary, responsible approver and unresolved conditions. Keep the authorization linked to the exact replacement version rather than its informal sales name.

BUYER CHECKLIST

What changes when a substitute is released?

Ordering conversion
Compare units per inner pack, inner packs per carton and total usable units. Update site ordering instructions when the case conversion changes. A purchase of the same number of cartons can provide a different quantity of tissue, even if the quoted price per carton looks similar.
Equipment exceptions
Tork documentation identifies a particular adapter and older dispenser configurations; GP PRO lists compatible towel references for a specific dispenser. These sources demonstrate why equipment-specific evidence matters. They do not establish that an unlisted VELUPLY refill fits either system or that an adapter is available for another model.
Presentation and user instructions
Review any visible retail pack, branding, opening mechanism and staff handling changes. A replacement that fits the cavity can still alter refill work or presentation. Record site approval for those differences instead of allowing a central price decision to silently settle them.
Rollback stock and messages
Identify remaining original stock, where the replacement may be shipped and how sites recognize the temporary SKU. Record the return-to-original trigger and handling of remaining replacement cases. Avoid mixed unlabeled cartons that make a later service issue impossible to trace.

DECISION POINTS

What to align before the next commitment.

01

Illustrative network exception

A hotel group could have newer washroom dispensers at one property and older units at another. A replacement passes the first site trial but requires further checks at the second. The correct output is a split approval matrix with open conditions, not an averaged compatibility score. This is an illustrative situation without customer evidence.

02

Commercial approval has a separate owner

Purchasing can accept the replacement quotation while operations keeps the physical trial pending. Record both decisions and prevent order release from implying site acceptance. If urgency requires a temporary route, name its scope and authorizer; urgency alone is not evidence of equivalence.

03

Use a difference record rather than memory

Preserve the before-and-after specification and photographs alongside the site decision. Staff changes should not erase why a replacement was permitted. When a supplier later changes carton configuration or paper construction, reopen the affected comparisons instead of reusing the old approval unchanged.

WORKING SEQUENCE

A clearer route from question to decision.

  1. 01

List installed site configurations and the current approved refill references. Separate unknown equipment from verified groups, and identify the operational owner for each group.

  2. 02

Request the replacement specification and commercial case conversion. Map each changed field to the sites affected and decide which combinations need a physical trial.

  3. 03

Run the agreed site checks and record observations against the actual sample and equipment. Resolve conditional items or retain them as pending with a named owner.

  4. 04

Release only the authorized site and version combinations, communicate order conversions and temporary limits, and retain a rollback record. Review new complaints against that record rather than assuming all sites received identical goods.

DIRECT ANSWERS

Questions buyers ask before moving forward.

01Is matching ply enough to approve a substitute?+

No. Ply alone leaves fit, dimensions, count, fold, pack arrangement and operating behavior unresolved. Compare the fields relevant to the installed equipment and service use, then record the sample and site checks that support the decision.

02Can we approve sites in groups?+

Yes, when there is evidence that the relevant equipment and use conditions match. Define the grouping basis and exceptions. Unknown accessory models or generations should remain outside a verified group until checked.

03Does a product listed as compatible by another brand prove our replacement fits?+

No. A manufacturer compatibility list applies to the references it identifies. Use it to understand the installed system, then verify the proposed replacement separately. Do not copy another product reference or its performance claim into the replacement record.
