- Identify the asset
- Material/item reference ___; description ___; linked SKU/artwork revision ___; printed or unprinted state ___; quantity and unit ___; physical location ___; custodian ___. Distinguish consumable packaging from printing tools or digital files. A record of unused boxes should not silently include plate access, artwork permissions or equipment held under a different arrangement.
- Establish the physical balance
- Opening balance/source ___; receipts ___; production issues ___; returns or scrap ___; current count/date ___; disputed quantity ___. Reconcile the custodian’s record with available counts before discussing transfer. A supplier statement and a confirmed physical count are different evidence; preserve that distinction where counts remain unavailable.
- Record the parties’ positions
- Buyer’s stated position ___; supplier/custodian position ___; agreement or order reference ___; invoice/payment reference ___; unresolved interpretation ___. Quote or link the actual source rather than inventing a default term. Payment, a brand printed on material or storage location alone should not be used here to decide ownership.
- Clarify access and permitted actions
- Party permitted to request release ___; person authorizing use ___; applicable restrictions ___; storage or transfer arrangements to confirm ___; information needed ___. Ask the parties to resolve whether material can be used for another order, moved, returned or disposed of. Keep proposed actions pending until their actual authority is established.
- Agree handling and reconciliation
- Condition evidence ___; storage responsibility as agreed ___; damage/loss notification contact ___; proposed action ___; approvals ___; movement or disposition receipt ___. Separate the agreement to act from evidence that the action occurred. A release instruction is not proof that materials left the custodian or arrived at another facility.
