Hotel Tissue Procurement Checklist: Box Fit, Roll Fit and Sample Approval

Start a hotel tissue purchase with the installed accessories and the guest-room specification. Measure the space a refill must fit, confirm the actual paper quantity and trial the proposed sample in the room. This avoids approving an attractive case price for a box or roll that housekeeping cannot use as intended.

BUYER CHECKLIST

Record the installed accessory before choosing a refill

A supplier needs usable internal measurements and the actual opening mechanism. An exterior photograph alone cannot establish compatibility.

Facial tissue cover
Property or room type: ___; accessory model if known: ___; usable internal width × depth × height: ___; insertion opening: ___; dispensing aperture: ___. Include a ruler in reference photographs.
Proposed facial tissue pack
Flat box / cube box / soft pack: ___; finished pack dimensions: ___; sheet dimensions: ___; ply: ___; sheets per pack: ___. State whether the retail box stays inside the cover or is removed.
Toilet roll holder
Holder type: ___; available roll clearance: ___; spindle dimensions: ___; allowed core dimensions: ___. Check rotation and clearance with the actual roll instead of assuming a standard size fits.
Proposed toilet roll
Outer diameter: ___; roll width: ___; core dimensions: ___; length or sheets: ___; ply: ___; wrapping format: ___. Keep quantity and fit fields together in each supplier response.
Housekeeping handling
Room trial date: ___; refill installation: ___; first-sheet access: ___; end-of-pack performance: ___; storage or trolley concerns: ___. Record observed issues and the affected sample reference.
Commercial comparison
Packs or rolls per case: ___; case dimensions and weight: ___; price basis: ___; freight scope: ___; sample approval conditions: ___. Treat missing fields as unresolved before selecting an offer.

Illustrative comparison: case price versus paper quantity

These invented figures explain arithmetic only. They are not VELUPLY prices, hotel consumption data or equivalent product offers.

Offer A
Assume 30 boxes × 100 sheets and a case price of $24. That is 3,000 sheets per case and $0.80 per 100 sheets before freight and other costs.
Offer B
Assume 24 boxes × 120 sheets and a case price of $23.04. That is 2,880 sheets per case and also $0.80 per 100 sheets. Its lower case price does not create a lower normalized sheet price.
What remains unresolved
Compare sheet dimensions, ply, material, sample performance, box fit and delivered cost before making a value judgment. Equal price per 100 sheets alone does not establish equal product value.

DECISION POINTS

What to align before the next commitment.

01

Flat and cube are different specifications

Tork lists facial tissues in both flat and cube boxes. Those categories are useful starting points, but the name does not give the exact dimensions of a proposed refill. Ask for the finished pack drawing or measurement and test it inside the property's accessory before printing custom boxes.

02

Trial the whole refill cycle

A full box that dispenses correctly may behave differently near the end. Ask housekeeping to observe installation, first-sheet access and later dispensing during the agreed pilot. Separate a fit failure from a paper preference so the corrective action addresses the actual problem.

03

Control approved alternatives

If several hotels use different accessories, maintain a property-to-SKU matrix. Record an approved replacement route for each combination. A substitute with the same ply can still change dimensions, case conversion or presentation, so review the affected fields before accepting it.

WORKING SEQUENCE

A clearer route from question to decision.

  1. 01

Inventory the guest-room tissue covers and roll holders. Group rooms by accessory and specification where appropriate, then identify which groups require separate physical trials.

  2. 02

Send the measurement record with the request for quotation. Ask each supplier to state the sample reference, finished pack details, commercial scope and fields that remain unconfirmed.

  3. 03

Trial the proposed refill with housekeeping in the actual accessory. Record observations, rejected combinations and any packaging changes needed before final approval.

  4. 04

Approve the matched specification and retain a sample record. Use the separate hotel par-stock guide to plan inventory from observed consumption and replenishment lead time.

DIRECT ANSWERS

Questions buyers ask before moving forward.

01Can one tissue box serve every room?+

Possibly, but validate each relevant accessory combination. Different covers, insertion openings or dispensing apertures can require separate refills even when rooms use the same paper specification.

02Should I compare cost per occupied room?+

Use that operational measure only after collecting actual consumption and defining what the cost includes. For an initial quotation, normalize case quantities and physical specifications first. Do not assume a universal number of tissues or rolls per guest-night.

03Can a soft pack replace a cardboard box?+

Test the proposed installation. A soft pack can sit or dispense differently inside an accessory, and removing a pack may change handling. Record whether the proposed use works before treating the formats as interchangeable.

Trace the question and the verification.

This checklist is procurement guidance. Third-party product listings demonstrate distinct box formats; they are not VELUPLY product specifications or a guarantee of fit. Hotel consumption, sample performance, prices and supply availability require property-specific evidence.
