- Shipment identity
- Record purchase order, supplier packing list, transport document, container or delivery reference, seal observations if relevant, arrival time and receiving location. Compare identifiers before unloading records are separated. A shipment number connects the evidence; a photograph of anonymous cartons does not.
- Condition at handover
- Capture wide views of the load and close views of affected cartons, markings and packaging. Record visible wetness, crushing, broken wraps or unusual conditions using factual descriptions. Photograph condition before repacking wherever safely possible; do not reconstruct an earlier condition after the event.
- Quantity reconciliation
- List expected cartons, received cartons, visibly affected cartons and quantities still unchecked. Keep a damaged carton separate from a missing carton. Record retail packs examined inside each opened carton and explain whether those observations cover the whole affected group or only selected units.
- Evidence custody
- Assign photo filenames, recorder, time and carton references. Retain original files and the receiving report together. Record any moving, drying, repacking or disposal action and its authorizer so later evidence is not confused with the original delivery condition.
