- Case and product identity
- Record buyer SKU, case configuration, packs per case, packaging version and sample reference. State whether the case contains the intended product quantity. A partly filled sample can have a different shape from the shipment case, so identify its limitations rather than treating it as final packing data.
- Packaging state
- Record filled or empty, sealed or open, handling state and any visible deformation. Distinguish a drawing value from a physical observation. If wrapping, straps or other materials form part of the unit being measured, record what was included and confirm the convention required for the intended use.
- Axes and units
- Define the dimensions and unit used in the record, showing orientation with a sketch or reference photograph. GS1 publishes package measurement conventions for consistent data exchange. Follow the applicable convention when required, rather than assuming a warehouse's informal length label matches every downstream system.
- Reading and equipment
- Record measuring equipment, recorder, observation date and individual readings for the selected cases. Keep resolution and rounding decisions explicit. This guide does not prescribe a sampling quantity, calibration requirement or acceptance tolerance; obtain those requirements from the agreed measurement or inspection scope.
- Decision use and approval
- State whether the readings support a quotation estimate, master-data entry, freight declaration or a production-case review. Identify the responsible reviewer and missing conditions. A correctly recorded number can still be unsuitable for another decision if the case state or measurement convention differs.
