- Equipment identity
- Record dispenser brand, model, relevant generation and any manufacturer refill reference or system description. Capture the actual equipment rather than a similar catalog image. Tork and GP PRO document specific roll systems and compatible references; their lists apply to their products, not automatically to a proposed private-label roll.
- Current approved roll
- Record supplier reference, retained sample where available, roll width, outer diameter, core or support features, length or count basis and paper construction. Identify which fields are measured and which are supplier-declared. A current product working at one site does not establish every field by itself.
- Proposed replacement
- Record the same fields and the changed values with their source. Include how the roll is loaded and where paper feeds from. Keep center-pull and outside-feed descriptions distinct. Matching width alone leaves core, clearance, support and feed behavior unresolved.
- Loading and operating observations
- Define the safe trial following the equipment instructions and record installation, paper threading, closure, first dispensing and subsequent operation relevant to the buyer task. Note contact, drag, misfeed or staff correction factually. Do not modify the dispenser or bypass a mechanism merely to make the replacement operate.
- Scope and decision
- Record equipment and site scope, sample version, observer, approval owner and conditions. Separate fit, normal operation, end-of-roll handling and staff instructions where relevant. A successful initial dispense is a limited observation, not complete acceptance of all roll performance or every installed dispenser.
