Buyer handover and approval

Tissue Retained Sample Register

A retained tissue sample is useful only when its identity, purpose and present condition can be established. Connect the physical object to the approval record and specification, then document storage and retrieval. ISO’s published guidance on documented information includes master samples among possible media, while the Library of Congress discusses care of works on paper. Neither source prescribes a commercial tissue retention period. This register is a buyer-designed custody tool, with storage suitability and retention needs agreed for the actual sample.

Sample custody register

Identity and represented version
Register ID ___; supplier sample reference ___; SKU ___; specification/artwork revision ___; received date ___; sample type ___; approval record ___. State whether the object represents paper, a printed pack or a complete finished configuration. A plain pack should not become the reference for a later printed product by association alone.
Purpose and decision scope
Reason retained ___; attributes represented ___; accepted conditions ___; properties requiring reports instead ___; reference owner ___. Name what the sample is intended to compare. Retention does not prove certification, repeat-batch consistency or a quantitative property that was never measured.
Physical storage and status
Location/cabinet/container ___; protective arrangement ___; supplier storage guidance ___; observed environmental concerns ___; current condition/date ___; unopened or used status ___. Keep the sample accessible and protected from avoidable handling or damage. Obtain appropriate commercial material guidance rather than borrowing archival storage numbers for a tissue pack.
Borrowing and handling
Removed by ___; purpose ___; date ___; planned return ___; handling or tests performed ___; returned condition ___; custodian confirmation ___. Record destructive or contaminating use before it occurs. A sample that has been opened, compressed or used for testing may no longer represent the original approval state.
Review and disposition
Retention rationale ___; review trigger/date ___; contractual or other requirements to confirm ___; replacement decision ___; disposal authority ___; archive record ___. Agree the retention scope with the parties rather than inventing a universal number of months. Do not discard a reference that is still needed for an unresolved order or complaint.

Retrieval decision before using a sample

Correct reference, altered condition
Document the deterioration or handling history and explain which comparisons remain meaningful. Ask the owner whether a replacement or other evidence is needed. A faded printed pack or compressed paper stack should not be treated as an unquestionable target for judging a newly received sample.
Object found, identity uncertain
Check markings, photographs and custody records against the approval file. If the link cannot be established, mark the object unidentified and request a valid reference. Do not assign identity from shelf proximity or a familiar box design.
Reference required at several locations
Agree whether identified duplicate references can be prepared and who accepts their correspondence to the approved sample. Give each its own custody history. Photographs may support retrieval and appearance review but do not replace every tactile, dimensional or construction comparison.

DECISION POINTS

What to align before the next commitment.

01

Illustrative problem: a showroom sample becomes the target

A buyer might retain a reference pack intended only to discuss format, then later use it to reject a reorder on an unapproved feature. The register should expose the original purpose and accepted scope. This example is not a customer dispute or evidence that any particular supplier failed a specification.

02

Link digital and physical evidence

Store the register beside the approval decision, photographs and relevant reports, with access appropriate to the project. The physical sample and files answer different questions. A good photograph can establish visible markings while leaving softness, quantity or material properties dependent on other evidence.

03

Retain a history after replacement

If a reference is replaced, document why, what it represents and who accepted the replacement. Preserve the earlier approval relationship where needed. Updating a storage entry without that history can make the next reviewer believe the new object was the one originally approved.

WORKING SEQUENCE

A clearer route from question to decision.

  1. 01

Assign the sample an identifier and link it to the represented specification, approval scope and purpose. Separate development references from accepted finished configurations.

  2. 02

Agree a suitable storage and custody arrangement using actual material guidance and project requirements. Record location, condition and review triggers without imposing an invented retention period.

  3. 03

Before comparison or lending, verify identity and condition, then record handling and return. If the reference has changed or cannot be linked, seek an owner decision before using it as the acceptance target.

  4. 04

Review retention needs at relevant order, change or complaint milestones. Authorize replacement or disposition explicitly and preserve the approval history required for later decisions.

DIRECT ANSWERS

Questions buyers ask before moving forward.

01Must every tissue buyer retain samples for the same period?+

No universal period is supplied here. Confirm contractual, project and any applicable requirements with the responsible parties. Record the rationale and review trigger for the actual reference.

02Can a photograph replace the retained pack?+

It can support identification and visible appearance, but it cannot reproduce every physical comparison. Decide which evidence is required for the intended question and record the limitations of photographs.

03Does retaining an approved sample prove future lots match it?+

No. It provides a comparison reference within its accepted scope. Future production needs the agreed specification, inspection evidence and change controls; the stored object alone establishes none of those outcomes.
